How to Use the Work Hours Calculator
This free work hours calculator is particularly useful for three groups: hourly employees who need to verify their expected paycheck, freelancers and contractors who bill by the hour over project periods, and managers or HR professionals planning payroll budgets for a given date range. Use it online at any time — no spreadsheet required.
The free online work hours calculator counts every calendar day from your start date to your end date, inclusive. By default it excludes Saturdays and Sundays — toggle the "Include Weekends" option if your work schedule spans all 7 days. Each working day is then multiplied by your daily hours to get total hours, and total hours multiplied by your hourly rate gives gross pay.
One important caveat: the work hours calculator does not know about your employer's holidays. U.S. companies typically observe 7–11 federal holidays per year. If a date range includes holidays where you do not work (or earn holiday pay instead), adjust your working days count accordingly before using the total pay figure for planning.
Common Use Cases for the Work Hours Calculator
Freelance Project Billing
Enter your project start and end dates, your billable hours per day, and your rate. The work hours calculator shows your total billable hours and expected invoice amount for the project.
Payroll Period Verification
Set start and end dates to match your pay period. Confirm working days match your employer's count and verify expected gross pay before your paycheck arrives.
Annual Income Planning
Use the work hours calculator with a full calendar year to see total working days and maximum gross earnings at your current rate — useful for annual budget and savings planning.
Tips for the Work Hours Calculator
Tip 1: Include Both Dates
The work hours calculator counts both the start date and end date as working days if they fall on a weekday. A Monday-to-Friday range counts as 5 days, not 4.
Tip 2: Subtract Holidays Manually
The work hours calculator does not exclude public holidays. For a more accurate estimate, subtract the number of observed holidays in your date range from the working days total and multiply by your daily hours.
Tip 3: Use for Contract Rate Comparison
Comparing a salaried offer against a contract rate? Use the work hours calculator to find total annual hours, then divide the salaried amount by total hours for an equivalent hourly rate.
Tip 4: Weekend Workers
If your job requires weekend work, enable "Include Weekends" to count all 7 days per week. This correctly calculates hours and pay for non-traditional schedules like healthcare or retail.
